FELLOWSHIP HOUR INSTRUCTIONS      

Thank you for volunteering to serve Fellowship Hour. 

Because we have a new coffee maker in Fellowship Hall you only have to be at church on Sunday (not Saturday) to set up and make coffee. The easiest way is to come by 8:30 make a pot of decaf, then set the table, make juice, then a pot of regular and you will be ready to serve after the 8:00 worship.  Instructions on the how to make coffee is below.  Please note you can make 3 pots of coffee before the maker needs to heat more water up & this usually takes 5 to 10 minutes.  So plan on that wait.

Paper cups (hot or cold) or napkins are in the cabinets below.  If you need more they are stored in cases in the storage room, which you enter by going into the youth room downstairs. 

COFFEE MAKER INSTRUCTIONS

Each pot holds 10-6oz cups. Pots will keep coffee hot for 3 hrs. Everything needed is in the cabinet above the maker. Additional coffee packets and liners are stored in the Women’s Fellowship closet, located in the library (key is in the cabinet above the maker).  The free-will offering basket should be placed on the table with the packets of tea, cappuccino, chai, and hot chocolate. The donations should be put in the yellow envelope, that is in with the decaf packets, following Fellowship.

TO MAKE COFFEE
1. Make decaf first;
            A. Empty pot
            B. Put liner and 1 package of coffee in filter. Return filter to coffee maker. Place empty pot (without the pump spout) under filter. Push start button (which has a spring in it so it goes right back to start position) to begin brewing. After 4-5 minutes;
            C. Remove pot, insert pump, close pot.
            D. Dump grounds and liner. Rinse filter.
            E. You can serve from pots, or pump into carafes.
2. Make 4 pots of regular coffee following the above instructions.
3. Using the spigot on the coffee maker, fill white carafes with hot water for tea, cappuccino, chai, hot chocolate.

CLEAN UP EACH SUNDAY
1. Remove pumps and rinse in sink. Dump pots. Fill pots with water. Replace pumps in pot. Close pot and return to holder.
2. Rinse filter and replace in coffee maker. Wipe down coffee maker and spills.

Please note the special instructions for the 3rd and 4th Sundays of each month:

3rd Sunday
1. After dumping pots add ½ package of sanitizer to each pot. (Sanitizer is in a box in the cupboard above the coffee maker)  Record the date you sanitized on the sheet taped inside the cabinet door.
2. Fill the pots with hot water from the spigot. Return the pump to the pot and close the lid.
3. Place the (Fuchsia colored) sanitizing card (from the sanitizer box) in front of the coffee pots.

*4th Sunday - If the sanitizer card is in front of the pots:
1. Pump each pot 2-3 times into the sink. Remove the pump and empty the pot.
2. Fill the pot ½ full with hot water from the spigot. Replace the pump.
3. Pump 2-3 times into the sink. Remove the pump. Close the pot and swirl. Dump the pot.
4. You can now begin making coffee.

Greeter Instructions

Please arrive about 20 minutes before the Service of Worship is to begin. Fill out a nametag so everyone will know who you are.  Weather permitting, one of you is asked to stand outside to greet people as they arrive. If a car stops under the covered entry to let out a passenger, you may open the car door and assist them.  Certainly, open the church door for all guests as they arrive. Other greeters will be located inside the main entrance by the bell tower so you may greet people immediately as they walk in.

Greet worshipers with a smile and a handshake. You never have a second chance to make a good first impression.  You are the first persons that our guests will meet and you can make a lasting impression by the way that you express yourself.  Our goal is to offer “aggressive hospitality”.  (Aggressive is a strong word to indicate our determination to actively greet everyone who comes in our doors in the name and spirit of Jesus.  All are welcomed with warmth and smiles – even when they aren’t warm or smiling in return!)

You are not expected to know every member or to be able to discern who are guests and who are not. However, you can greet those you don’t know with the same enthusiasm with which you greet your friends.  “How do you do. I’m so glad you are worshiping with us today. Welcome. I don’t know if I’ve met you before, my name is _______________.” Then actively listen for their response.

You may encourage them to hang their coats in the coat racks in the entryway.  Invite them to enter the Gathering Space to fill out a nametag if they do not do so automatically.  Please direct anyone who identifies himself or herself as first time guests to the Welcome Center where the Welcomers have maps and other information for those not familiar with our facility. 

Be alert for any guests who may need special assistance. This might include wheelchairs or walkers, or sharing information about the location of the Nursery, Restrooms, Family Room or Sunday school classrooms. 

As the Service of Worship begins, you may take your seat in the sanctuary. At the end of the Service, try to invite any guests that you’ve met to join you in Fellowship and introduce them to other members.  In this way, everyone who enters our building feels welcomed and included.

INSTRUCTIONS FOR HEAD USHERS FOR 9:30 WORSHIP SERVICE

The guidelines listed below are for the head usher, who is there to encourage and equip our ushers.

  1. Please arrive by 9:10 a.m.  Put on a nametag that identifies you by name and with the word “Head Usher”. 
  2. Check the bulletin for the names of the ushers that have been selected for that week. Confer with the ushers to determine any areas that they are uncomfortable with the instructions. Please refer to the usher instruction manual at the usher stand. If there are not 5 ushers present, please invite someone to step in to fill any voids, unless you prefer to fill that slot.
  3. If there are areas that the ushers need help with the procedures (especially collecting the offering plates and/or distributing the communion elements), make yourself available to address their concerns at the appropriate time.
  4. Help the ushers check the black friendship folders to make sure a fresh page and pencil are ready for distributing.
  5. Attendance should be taken after the children have gone downstairs for Sunday School.
  6. Once the service has begun, take an accounting of the number of left over bulletins (overprinted) and Church Family News. If there is a significant under or overage, please make a note of this and put it with the attendance sheet to let the office know that they should adjust the amount of bulletins, large print bulletins, and/or Church Family News.
  7. After the service, remind the ushers to greet visitors and introduce them to others.  They should also collect friendship folders and throw away old bulletins/papers and communion cups. Please remind them to straighten up the bibles, hymnals & offering envelopes in the pews and tidy up the bookcase each Sunday.

Thank you for your leadership in ministry. Please let the ushers know that they have participated in a Very meaningful and vital way.

INSTRUCTIONS FOR USHERS FOR 9:30 WORSHIP SERVICE

The duties listed below are to enable you to be comfortable as an usher and for you to assist all worshipers to feel at home. There is a binder at the usher stand. There may be a head usher that will be available to answer any of your questions.

  1. Please arrive by 9:10 a.m.  Put on a nametag that identifies you by name and with the word “Usher”.  Confer with the other ushers to go over the various responsibilities.
  2. The Bulletins will be on the usher stand along the North wall of the Gathering Space. There will be some Large Print Copies available for anyone who wishes one. Double Check whether the bulletins from the 8:00 a.m. Service of Worship are different from the 9:30 Service. If not the same, make sure the 8:00 Bulletins are discarded.
  3. Open all three of the double doors leading into the Sanctuary. One Usher should be stationed at each door, and at the entrance to the “Family Room”. (down the corridor that goes past the coat racks and past the staircase leading to the lower level.)
  4. Greet worshipers cordially but quietly and give them bulletins (1 per person), along with the Church Family News (1 per family). Please stay alert for those who need assistance, directions or other help. Guests may be directed to the Welcome Center for guidance from the Welcomers. Take the time to introduce guests and new members to others.
  5. At 9:28 as Prelude begins, help the acolyte prepare to light the candles, holding the candle lighter high in front of him or her and with the flame up and the extinguisher held down.  When the musician begins the prelude, the acolyte starts down the aisle.  If there is no acolyte assigned, you light the candles.  Matches are in blue plastic container in the bookcase in the Gathering Space.
  6. At 9:30, close the side doors, leaving only the center doors open to help block noise and to signal that worship is beginning to those who may be mingling in Fellowship Hall.
  7. After the Church Family News, one of you will Ring the Bell, at the signal of the liturgist.  Have the doors open between the Fellowship Hall and the bell so the ringing can be heard.  Ring the bell about 10 times. 
  8. After Worship begins please watch for and greet any latecomers and those who may need assistance finding seating, directions or other help. 
  9. After the Opening Hymn and prayer, the Lord’s Prayer and the Gloria Patri, pass the black friendship folders (or as directed in the Sunday bulletin for the day).
  10. After the children have gone downstairs for Sunday School, around 9:50, take a count of the attendance and record the number on the small blue sheet found in the bookcase in the Gathering Space.
  11. use 5 Ushers to receive the Offering. Come forward with 2 in front and 3 behind. When you come up to the front of the aisle, the two in front step to either side and the 3 in back step up between them to form a straight line.  The center person will not receive an Offering Plate.  After the Offertory Prayer, all the Ushers will turn and each one will go to one of the aisles and begin to pass the Offering Plate. Pass the plate to the first person on the end, who will pass the plate down.  You step to the next row to receive the plate that has been passed from the usher opposite you.  The Ushers standing in one of the three inner aisles will need to pass plates on both sides. When all the rows have received the plates, then 2 of the ushers take the plates and stand in the back until the organist begins playing the Doxology.  As everyone starts to sing, you both come forward down the center aisle. The Liturgist will take the plates and put them on the Communion Table.  Remain standing in the front until the singing is completed.  Then turn and walk down the aisle to the back of the sanctuary.  On Food Pantry Sundays, as 2 ushers bring the plates forward, 2 others ushers carry forward the baskets of food to the front of the sanctuary.
  12.  Whenever Communion is celebrated you are the Servers. As the pastor is giving the Invitation and Prayer of Consecration you gather at the end of the center aisle. Serving Communion is handled in the same manner as receiving the offering. Follow the same instructions. Usually we will have 5 trays of bread and 5 trays of cups. Extra trays may be available on the sound booth counter. After serving the bread or cup, come immediately to the front of the center aisle and the pastor will take the trays from you. After your tray is collected take a piece of bread or cup for yourself.  After everyone drinks the juice, you are finished and return to your seats. (Following the Service take the trays back to the Sacristy. Empty the cups and dispose of them. The loaf of bread that was broken is returned to a plastic bag for the donor. Put the cleaned trays on the shelf in the sacristy closet.)
  13. Around 10:30 Help the Acolyte prepare to extinguish the candles.  If there is no acolyte, one of you will perform this job.  The acolyte should start forward during the next to last verse of the final hymn.  The acolyte should relight the candle lighter before extinguishing the candles.  Then the Acolyte recesses with the lighted candle lighter Held High as a symbol of the “Light going forth into the World”. Once the acolyte has recessed, the candle lighter is extinguished. 
  14. After the service, stand at the doors and try to greet visitors and introduce them to others.  Collect and throw away old bulletins/papers, communion cups. Collect the signed sheets from the friendship folders, attach to the attendance sheet, and leave them in the box that the Sunday bulletins are in. 
  15. Please straighten up the bibles, hymnals & offering envelopes in the pews and tidy up the bookcase each Sunday.

WELCOME CENTER INSTRUCTIONS

When you arrive at church, please be sure the Welcome Center is facing the Greeters at the door so visitors are aware of it.  Keys ate in the center drawer, gift basket and candy are in the locked right cabinet, extra supplies are in the left cabinet.

1.  Please be at the Welcome Center by 9 a.m. in order to talk to any guests from the 8:00 service that may have questions.

This is also a good time to straighten the members’ sign in table.  Only current church promotional information, nametags, pens and candy should on the members’ sign in table.  Anything else can be disposed of.

2.  Greet guests with a smile and a handshake!  Your focus is on our guests – especially first-time guests.  Stand in front or to the side of the desk so you are noticed.  Include the word “Welcomer” on you nametag.  Our goal is to offer “aggressive hospitality”.  This sounds strong, but it indicates our determination to actively greet everyone who  comes in our doors in the name and spirit of Jesus.

Although you will be greeting friends and fellow members, don’t let them get in the way of your primary responsibility – to approach and engage our guests.

3.  The Greeters will direct our guests to stop at the Welcome Center; however, you cannot sit back and wait for that to happen – when you see someone who appears hesitant, new, or unsure, step up and welcome them to our church.  Tell them your name that you’re the “Welcomer” for this service, and ask if they have any questions at that time.

4.  If the families include babies or small children, tell them about the nursery downstairs, and the family room on the north side on the sanctuary.  They may ask to be shown the nursery.  If you are alone at the desk, ask another member to show them.

5.  If there are older children in the family, their parents may have questions.  The children all go in the Sanctuary at the beginning of Worship, and are dismissed for Sunday School after the Word with the Young.  Assure the parents that guides will be ready to show the children to their classrooms at that time.  These parents may also ask to be shown their children’s classrooms beforehand.

6.  You enter the Sanctuary at the beginning of worship. Please return to the Welcome Center during the singing of the last hymn.  At this time hold the gift basket so guests realize you’re there to give them their gift.  As the guests leave, ask them if they would like a gift to remember us.  If they’ve been to our church before, ask them if they had any questions.  This would be a good time to tell them about the next Informational Meeting, which is held in the Music Room.

7.  Before you leave, please make certain both the Welcome Center and the Members’ sign-in table are neat and orderly.
